Clear Plates ("we," "us," or "our") operates the Clear Plates platform for NYC fleet violation management. This Privacy Policy explains what data we collect, how we use it, and who we share it with.

1. Information We Collect

Account information: When you sign up, we collect your name, email address, and organization name. If you enable business verification, we also collect your EIN, business address, and phone number.

Fleet data: You provide license plate numbers, registration states, vehicle nicknames, driver names, and driver assignment date ranges. This data is used to look up violations and match them to the responsible driver.

Renter portal data: If you are a fleet owner using the renter portal, we store renter company names, contact names, email addresses, and phone numbers that you provide.

Hearing defense data: If you use the idling defense feature, we collect respondent information, authorizer details (name, address, phone, email, relationship), and a drawn signature for the OATH GN4 authorization form.

Usage data: We log errors (with your user ID and request path) for debugging. We track your last dashboard visit to highlight new violations. For signup and contact form bot protection, Cloudflare Turnstile may process security signals such as IP address, TLS fingerprint, user agent, sitekey, and origin. We do not use analytics trackers or tracking pixels.

2. How We Use Your Data

Violation lookup: We send your license plate numbers and registration states to NYC Open Data (a public government API) to retrieve parking, camera, and OATH violation records. No personal information (names, addresses, etc.) is sent to NYC — only plate numbers and states.

Payment verification: We may automatically check the payment status of your DOF violations using NYC CityPay's public search. Only summons numbers are submitted to CityPay.

AI assistant: When you use the Clear Plates chat assistant, a summary of your fleet data (vehicle count, violation counts, driver names, and outstanding amounts) along with your question is sent to OpenAI's API for processing. Voice messages are transcribed using OpenAI's Whisper API. Audio files are not retained after transcription.

Email notifications: We send transactional emails (welcome messages, team invitations, violation digests, renter portal notifications) via SendGrid. These emails may include your name, organization name, violation summaries, and amounts due.

Payment processing: Card payments are processed by Stripe. We never see or store your credit card number — Stripe handles all card data under their PCI-DSS compliance. We send Stripe your organization ID, violation IDs, and payment amounts as metadata. Violation fine amounts are remitted to NYC agencies on your behalf via Stripe Connect.

We do not sell, rent, or share your data with advertisers, data brokers, or any third party not listed above. All third-party integrations are for core platform functionality only.

4. Data Storage and Security

Your data is stored in a Supabase-managed PostgreSQL database in AWS US-East-1 (Northern Virginia). All data is encrypted in transit (TLS/HTTPS) and at rest. We use row-level security policies to ensure organizations can only access their own data. API routes are protected by JWT authentication with server-side verification.

5. Data Retention

We retain your data for as long as your account is active. If you delete your organization, all associated data (vehicles, violations, assignments, cases, payments, and documents) is permanently deleted. You may request data deletion at any time by contacting us at hello@clearplates.com.

6. Cookies and Tracking

Clear Plates does not use cookies for tracking or advertising. We use browser session storage (cleared when you close the tab) to cache your profile data for faster page loads. Cloudflare Turnstile may use strictly necessary security signals or cookies on signup and the contact form to distinguish humans from bots. We do not use Google Analytics, tracking pixels, or any third-party analytics tools.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing hello@clearplates.com. We will respond within 30 days.

8. Children's Privacy

Clear Plates is a B2B platform for commercial fleet management. We do not knowingly collect data from anyone under 18 years of age.

9. Changes to This Policy

We may update this policy from time to time. We will notify registered users of material changes via email. The "last updated" date at the top reflects the most recent revision.

10. Clear Plates Delivery Sync (Chrome Extension)

Clear Plates offers an optional Chrome extension, the Clear Plates Delivery Sync, for customers who manage an Amazon Delivery Service Partner (DSP) fleet. You install it yourself, and it runs only on Amazon Cortex (logistics.amazon.com) and on clearplates.com.

What it reads: while you are signed in to Amazon Cortex and viewing your own data, the extension reads the route, vehicle, and driver information that Cortex loads, and it requests the same read-only fleet and roster pages your account can already open. It reads only data you can already see. It never changes any of your data in Cortex (it does not submit forms or modify records); to load earlier dates it advances the console's own date picker, the same way you would.

What it sends to Clear Plates: the extension sends that data to your Clear Plates account so violations attribute to the responsible driver and vehicle. This includes:

Vehicle import is off by default: sending your Cortex vehicles into your Clear Plates fleet is controlled by a setting that is off by default. While it is off, the extension syncs route data only and does not write vehicles or driver records to your account. Turning it on links drivers to violations and can change your active-vehicle count for billing, so it is a deliberate choice you make.

Storage and control: your Clear Plates connection key and your settings (such as your station code) are stored only in your browser's local extension storage; the key and station code are sent to Clear Plates only as part of syncing your own data. The extension uses no cookies and no analytics. You can turn it off at any time from its Settings or remove it from Chrome. Data already synced to your Clear Plates account is governed by the rest of this Privacy Policy and can be deleted by contacting hello@clearplates.com.
